Job Summary:
As Administration & Operations Manager, you'll be the backbone of our startup, ensuring smooth daily operations, meticulous record-keeping, and seamless support across various departments. Your role is essential in maintaining order, driving efficiency, and supporting strategic initiatives like fundraising. Your meticulous attention to detail and proactive problem-solving skills will be crucial in identifying and addressing potential issues before they escalate.

Key Responsibilities:
Data Room Management:
  • Maintain an organized and up-to-date data room accessible to key stakeholders.
  • Ensure all documents, contracts, and agreements are properly protocoled, logged, and easily searchable.
  • Implement a robust version control system for document management.
  • Prepare reports, presentations, and correspondence for internal and external stakeholders.
Financial Administration:
  • Collaborate closely with accounting to track expenses, invoices, and payments.
  • Develop and maintain basic financial models to forecast revenue and expenses.
  • Prepare financial reports and summaries for leadership and investors.
Legal Support:
  • Assist with the review and management of commercial, services, employment, and ESOP contracts.
  • Liaise with external legal counsel as needed.
  • Fundraising Support:
  • Assist in preparing due diligence materials and investor presentations.
  • Coordinate communication and logistics for fundraising activities.
Office & Equipment Management:
  • Manage office facilities, including lease agreements, maintenance, and vendor relationships.
Human Resources Support:
  • Assist with onboarding and offboarding of employees.
  • Maintain accurate employee records and documentation.
  • Support recruitment efforts and training initiatives.

  • Proven Experience: 3+ years of experience in administration, operations, or a related field, ideally within a startup environment.
  • Exceptional Organization and Attention to Detail: Meticulous attention to detail, thoroughness in completing tasks, and a commitment to accuracy.
  • Proactive Problem-Solving: Ability to identify potential issues before they arise and take initiative to resolve them efficiently.
  • Financial Acumen: Understanding of basic financial principles and the ability to create simple financial models.
  • Legal Aptitude: Familiarity with contract terms and legal documents.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.
  • Tech Savviness: Proficiency with data room software, document management tools, and productivity applications (e.g., Microsoft Office Suite).
  • Adaptability: Flexibility to wear multiple hats and adapt to evolving needs in a startup environment.

Bonus Points:
  • Experience with B2B SaaS companies or the AI industry.
  • Previous involvement in fundraising activities.
  • Legal or paralegal background.
